Using help pages in amadeus

In this article, we will learn how to use Amadeus Help Pages. Every GDS and every software has a manual or a guide to use likewise Amadeus has a built-in manual or help pages which assist you in case you fail to recollect a command. The help pages are quite useful when you cannot remember long commands like the command to update passport details or APIS in the PNR. Amadeus has one basic help command which assists you to find a command that you are looking for.

The Help command in Amadeus is HE or HE/.

Another way we can use help pages is by entering enter HE/  after the command you just entered.

Below is an example. Here we started with Availability command later could not complete the format, hence we followed up with HE/ command to check which displayed help pages for Availability command.

Next, we will learn about GG information pages or GG pages.

Every Global distribution system has a collection of vital travel information which can be used by the travel agent for day to day activities in Amadeus this collection of vital information is stored as GG information or GG pages. Help pages in Amadeus provide information on how to use Amadeus and how to apply various commands. But GG information is a command in itself which provides info on various details such as airports, cities, countries, etc. This information can be found on google nowadays but this information is also available on Amadeus easily. Below is the command to check for GG information.

GG AIS

This command will display the index of GG pages showing what information is available on the system.

Now if you see above image you will notice GG information pages has various topics like Alliance information, Airline Information, Airport information, etc.

Just to take an example which will be used frequently we will use GG APT information. The command for checking airport information is as below.

GG APT KEF

GG  APT is the command to check GG information for an airport followed by the three-letter IATA code of the city for which you are checking for. Below result will be displayed.

Now if you see above image in the first page when we entered GG APT only. It gave description of the command and how to use this command. Since we requested information for KEF airport it displayed information showing where is the airport located contact details etc.  Further, it may or may not have information on other related things like Facilities, Surface transportation or car parking information. Now just to check if the information on Car parking is available we entered a follow-up command GP2 and got below information.

With this, we come to an end on how to use help pages and how to use GG information pages. Knowing these basic commands will go a long way in enhancing your knowledge on Amadeus.

How to request for Special services in Amadeus

Now we will see how to request for special service requests. SSR are requests which are made to the airline to fulfil special requirements for certain passengers. For example, some passengers prefer only Diabetic meal or a Gluten-free meal than in such cases an SSR message needs to be updated in the PNR so the airline can make appropriate arrangements as per their preference. SSR for meal request is the most common form of special requests and is used very frequently. But before you pass on a message for meal requests you must know the meal codes for a certain type of meal. The airline industry has standardized codes for meals and these codes can be displayed on Amadeus by using the help command.

To know meal codes you can use below commands.

HE MEAL

Here HE is the help command followed by MEAL indicator which will display the reference number for meals its reference MS 22. Once you enter this command a list of Meal codes is displayed. 

If you do not know a certain meal code you can always refer to the above method of displaying the meal codes chart. Now supposedly you need to request a Diabetic meal than in that case you will have to used the code DBML.

Below is the command and process to request a Meal.

Here SR is the command followed by the Meal code which is preferred. Once you enter this command the request is captured in PNR but you have to save the request hence we have to follow the normal saving process which is as below.

RFSS 

Followed by ER 

Alternatively, we can merge both the commands with ” ;  ”

Here we enter Received from Steven Smith (SS initials) followed by End and retrieve pnr command to save the transaction.

Now if you observe the above process you will notice upon saving the request to PNR the airline initially just accepts the requests but does not confirm it and only confirms the same after a few seconds. Since the airline, we used in this example is emirates we received an instant response. Some airlines may take more time depending upon the request.

Similarly, we can also assist for other special requests like wheel hair assistance. Code for Wheelchair assistance is WCHR. (this can be found in Amadeus Help Pages).

The process to request a wheelchair remains the same as requesting a meal.

If you observe the above process to request a wheelchair you will notice that although it’s a similar process of saving it took a bit more time for the airline to come up with a confirmation.

How to Assign Seats in Amadeus

In this lesson, we will learn how to assign seats for a reservation. Assigning seats as per the preference of the traveller is possible when using Amadeus. Most of the full-service airlines allow you to assign seats on Amadeus however nowadays some airlines charge a fee for economy class travellers for pre assigning a seat on restrictive fares. Seating for business and first-class travellers can be made without any restrictions or charges. Below we will explain the process of assigning seats on Amadeus.

Step 1  – Before you assign a seat you must know which is vacant or which is occupied, Every seat on an aircraft has an alphanumeric number and two assign a seat which a passenger has requested for you first need to check the seat map if the same is occupied or vacant. The command to check seat Map is as below.

Here SM is the command to view seat map for an itinerary on line number two. This command can be used only when you are in a pnr.

When you enter the above command below command cryptic and graphical map of seating is displayed. You can choose whichever seat the traveller prefers.

In the above image, you will notice below the cryptic map a detailed explanation of all the characteristics of the seat map have been shown. For example  “.” means seat being available and “+” means the seat is occupied.

Besides the cryptic map displayed in the above example, Amadeus also displays a graphical map as below, this map is much easier to understand and seat selection is easier on this map as one has to simply click on the highlighted green seats to assign the same.

However, if you are not able to display the graphical map you can always choose seats using the conventional cryptic commands.

Now if you observe above seat map, seat no 8D is vacant and we can assign the same by the following command.

ST/8D/S2

Here ST is the command followed by “/” and seat no which you want to assign for a flight on segment number 2. When you enter the above command a seat is pre-assigned for the traveller as per preference and same does not need to be requested again at check-in.

How to Add frequent flyer/ Rewards number to Amadeus pnr

So far we have learned how to Sign in, Check for codes using Amadeus and how to create a PNR. Now we can safely say that we have covered the basics of Amadeus, Taking a step forward in this lesson we will learn how to add other essential elements for a PNR, these elements are not required to complete a PNR but do serve as an additional benefit or an addon in servicing your client. In this lesson, we will learn How to add frequent flyer numbers, How to request for meals, How to request a special request and How to select seats.

How to Add Frequent flyer membership details to a PNR?

Before you know how to add a frequent flyer membership details we will tell you in brief what exactly is a Frequent flyer number (FFN). 

Most Full-service airlines globally operate a programme for its loyal customers rewarding the customer’s points for frequently using their airlines. These points can be redeemed by a traveller for future travel, upgrades, lounge access and other benefits with the same airline or partner airlines. Some airline nowadays even allow the points to be redeemed for online shopping and some airlines have partnered with other travel services such as car rentals and hotels so travellers can accrue more points using this programme. Many corporate travellers give high importance to these programmes because of the benefits received through the points. Hence updating frequent flyer details to a PNR is important.

Scenario 1

The command for entering frequent flyer details to a PNR in Amadeus is as below.

Here FFN is the command followed by the Airline for which we would be updating the frequent flyer details and followed by the frequent flyer membership number of the traveller.

If you observe the above image the first step to update the frequent flyer details to a reservation is to enter the frequent flyer number using the FFN command, the second step is to save the command. For saving any command on all the GDS the process is the same which is first entering the received from command followed by ER or end and retrieve command. This saves the frequent flyer details to the PNR.

Scenario 2

Second scenario we will learn how to update frequent flyer details when accruing miles for a partner airline. 

Many airlines globally enter into partnership agreements allowing travellers to accrue miles when travelling on partner airlines. Some are even part of big alliances like star alliance, sky team, one world , etc. For eg:- Qatar airways and British airways is part of One World alliance and allow travellers to accrue miles when they travel on either of the airlines. They can choose one account to which they wish to maximize their accrual of miles and update the same while booking on Qatar airways or British airways. Similarly, Emirates also has Frequent flyer membership agreements with a number of airlines. 

The command to check Frequent flyer membership for a particular airline is as below.

VFFDEK

In the above command, VFFD is the command and EK is the airline code. So we are asking Amadeus to displays frequent flyer membership agreements for airline EK (emirates).

If you observe the above image you will notice Emirates has agreements with AS, BE, BL, B6, etc airlines. So when a traveller uses any of these airlines he still can accrue points for his EK frequent flyer account. Now to enter the frequent flyer details to a pnr for a partner airline is slightly different.

Now if you see above command the FFN remains the same followed by airline however since we are trying to accrue miles flown on B6 (jet blue) airlines which is a partner airline of Emirates we additionally enter a comma followed by the two-letter airline code.

In the above image, you can see the process to enter frequent flyer on a partner airline remains the same however the command to update frequent flyer has a slight variation.

With this, we come to an end on how to enter or update frequent flyer details to an Amadeus PNR. 

How to find your Delayed/Lost baggage ?

Lot of travelers worldwide face this situation where the airline misplaces or delays their cheked in bag. Although this situation may seem like a frequent occurence to many but statistically speaking lost or delayed baggage is a rare situation and as per records out of the total baggage handled by the airlines only 0.3 percent is lost or delayed by the airline. There are numerous factors due to which your baggage is delayed or lost by airlines but here are some major factors which causes this. In this post we wont be focusing on causes and factors of baggage delay but would rather be helping you out on how to track your baggage and what to do when you realise your baggage is lost by the airline.Do not panic and go to the counter

Steps to find your Lost/Delayed Baggage

  1. Go to the airline counter or lost baggage counter at the airport – Once you notice that your baggage is not found the first step you need to take is to go to the airline counter or lost and found counter at the airport. Most of the airlines at a major airport would have a seperate counter for lost or delayed baggage if the airline does not have any dedicated representative then you can also contact the airport authorities.

2 ) Fill out the form – The lost baggage department at airport will ask you to fill out a form as as below, even in case if your baggage or any of the items in your baggage has been lost or misplaced you can fill out below form. The baggage handling representative will provide you a recceipt or a code for tracking your lost or delayed baggage.

3 Always keep your tag no and boarding card – This is one of the common mistakes that many people would typically do is losing their baggage tag. A baggage tag is a sticker that an Airline counter staff at the airport would stick at back of your boarding card before you board the plane. This tag has a bar code and a alpha numeric code for sorting your baggage. If you have this tag number tracking your baggage becomes lot easier for airlines.

How to track – All airlines have a baggage tracking system through which you can know the status of your lost baggage. Some smaller airlines may not be associated with baggage tracking systems for such airlines you will have to contact them directly. Below are links to some major international airlines which offer baggage tracking services to its travellers . If any traveler has lost or delayed baggage on any of below airlines they can track the status of their lost or delayed baggage through below airline links. Please note to track the lost baggage it is essential to have the baggage tag number or lost baggage track locator or a complaint has to be filed with respective airline where they would provide you with a tracking locator.

Airlines deliver if lost baggage is found and reimburse

All airlines as per IATA regulations have to deliver your lost baggage at the address provided while filling out the form at airport, Airlines are responsible reimburse in the event they are not able to track your lost baggage. The lost baggage policy varries from airlines to airline. But as per the Montreal Convention for the carriage of baggage.  The maximum baggage liability for flights covered by the Montreal Convention is currently 1,288 Special Drawing Rights (approximately $1,780.00 US).  This is the most that airlines must pay a passenger for a lost, damaged, or delayed bag.  Airlines are free to pay more than the limit, but are not required to do so.

Airline Baggage allowance explained.

Baggage allowance is the amount of baggage a traveller is allowed for his travel by an airline. Baggage allowance is measured in weight and all airlines have a policy with regards to the maximum weight of baggage that is permissible. Baggage is Classified in two categories Cabin baggage and Check-in baggage. An airline permits only up to a certain amount of weight that can be carried for your travel and this varies depending on the destination that you are travelling to the airline policy, etc. If a traveller exceeds the weight allowance then the traveller is liable to pay excess baggage allowance to the airline. In this article, we will discuss types of Baggage allowances and how baggage allowance is calculated.

Cabin Baggage/Carry on baggage/Hand Baggage:-  Carry on baggage or cabin baggage is the baggage which a passenger is allowed to carry on the aircraft or cabin which can be stored in the overhead bin. All major airlines allow cabin baggage free of charge, however, there are certain rules that need to be followed. A cabin bag should not weigh more than 7kgs in weight and should be as per specified dimension by the airline. For eg:- Emirates allows 1 cabin bag weighing up to 7kgs of weight however it should be as per the following dimension  55 x 38 x 20 (length+width+height). Some airlines also allow you to carry a personal item on board apart from this allowance like a laptop or a small bag, however, this is complete as per airline regulations. Hence before your flight, you can always check for baggage rules on the airline website. Besides these regulations Cabin baggage has also a restriction on carrying Liquids, gels or flammable objects. Essential things like medicine may require a prescription and policies vary from airline to airline.

 Checked Baggage/Tagged Baggage:-

Checked baggage is baggage allowance which is checked in and is stored in the luggage compartment of the aircraft. Checked baggage is of two types depending on which type of baggage policy the airline adopts.

1.Piece concept: –A piece concept allows a traveller to carry a piece of luggage as per specified dimensions, weight and size. As per this concept, a piece can be defined as a bag which weighs not more than 23kgs or 50 pounds and should be not more than 62 inches or 158 centimetres in dimension(length+width+height) . (**However please note the dimensions and weight mentioned may vary from airline to airline. ).Some airlines offer one piece of luggage while others offer 2 pieces however it is important to check for specified dimensions as well.   A traveller has to abide by these regulations else the airline will consider it as excess baggage. In an event when the bags are over the permissible weight limit or do not meet the set parameters in such a case the passenger is liable to pay an excess baggage fee. Some of the major airlines today allow purchasing excess baggage online. If a traveller is aware about baggage policy but has excess baggage and wants to carry the same he can choose to purchase excess luggage allowance online or at the airport, however, pre-paying for baggage online costs less. Currently, all airlines do not have this facility but major airlines do allow to purchase excess baggage allowance.

Baggage allowance as per piece concept- Basic fare with only cabin baggage allowance. Classic fare with 1pc of baggage allowance, Plus fare with 2 pieces and Business class fare with 32kgs per piece.

2.Weight concept: – This type of baggage policy has no restrictions on dimensions but has a restriction on weight. As per this policy, a traveller is allowed to carry a bag weighing a certain amount as per baggage policy as checked baggage. If the weight of the bag exceeds the specified limit the traveller is liable to pay for excess baggage. Most airlines allow two bags however a single bag should not exceed 32kgs

Above is Emirates airlines baggage policy, Emirates uses Weight concept for travel to Rest of the world except the Americas and Africa.

In case when the bag weighs more than the allowance excess baggage fees apply. As per IATA regulation excess baggage is calculated as 1.5 per cent of the full fare economy fare for each kg of excess baggage. The airline will charge for a minimum of 6kgs of excess baggage. What this means is even though passenger has 3kgs or 6kgs of excess baggage he will be charged for 6kgs as per rule.

Below we shall explain the calculation in brief.

Baggage allowance for BOM-SIN is 20 kgs however it is found that the passenger has 3 kgs of excess baggage. The Calculation as per IATA regulation will be as per below.

Y class fare for same flight is $500.

Hence $500 x 1.5% = $ 7.5

That is $ 7.5 for each kg of excess baggage.

However the minimum excess baggage allowed is for 6kg.

Hence $7.5 x 6= $ 45 even though there is only 3kgs of excess baggage.

In case it is found that the excess baggage is 9kgs it would be $ 7.5 x 9 = $ 67.50.

Above calculation applies only for international flights as per IATA regulation. However, all airlines do not follow the same method, Budget airlines charge excess baggage allowance as per their policies which are some times cheaper than IATA policies.

(TIP: – Always weigh your bag before you travel, in case weights of bag exceed the maximum baggage allowance it’s better to purchase excess baggage online before your flight which is comparatively cheaper and saves more than 50percent of your cost than paying for excess baggage at the airport.)

IATA Global Indicators Explained

Global Indicators are two-letter codes used in fare construction to determine the routing to which the fare applies. This is one of the first steps in the construction of fares if you are unable to identify the correct global indicator for a routing then most probably you would end up choosing the wrong fare for the itinerary hence learning Global indicators is Vital. In an earlier post, we learned about IATA areas/ Traffic conferences this learning will be applied now. Below we will explain all Global Indicators.

WH– Western Hemisphere – Any Travel itinerary which originates and ends in Western Hemisphere or TC1 will have WH as Global indicator.

For Eg:- Travel from Miami to Rio De Janerio Brazil will have WH as a global indicator.

EH-Eastern Hemisphere – When Travel is conducted solely within the Eastern hemisphere the itinerary will have Global Indicator as EH.

Case 1 – Madrid to Bangkok (from TC2 to TC3).

Case 3 -From Madrid to Cairo (within TC2)

PA or Pacific – When travel is conducted across the Pacific ocean only then Global indicator “PA” applies for the itinerary.

Case 1 – Travel from Vancouver in Canada (TC1) to Jakarta Indonesia (TC2) crossing pacific Ocean.

Case 2 – Travel from Mexico City (TC1) to Capetown(TC2) via Hongkong (TC3).

In this case as well since the travel is conducted across the pacific ocean and Indian ocean hence “PA” global indicator will be applicable for the itinerary.

PN– Pacific North – This Global indicator is similar to PA with one major distinction. When travel is conducted between Area 1 and Area 3 via North America across the pacific ocean then the itinerary will have a Global indicator as PN.

Case 1 – In this case travel is conducted from Santiago Chile (TC1) to Auckland New Zealand (TC3) via Bogota (TC1) and more importantly via Los Angles (TC1 North America) hence Global indicator will be PN instead of PA.

AP – Atlantic/Pacific – When travel is conducted across the Atlantic and Pacific oceans both then AP global indicator will be applied for the itinerary.

In Below, Case travel is conducted from Istanbul (TC2) to Tokyo (TC3) via Newyork (TC1). Since travel is conducted by crossing both the oceans Atlantic and Pacific then, in this case, AP will be the Global Indicator for this route.

AT – Atlantic – When travel is conducted across the Atlantic Ocean the itinerary will have “AT” as a global indicator. (TC1 and TC2 or TC3).

Case 1- Mexico city (North America-TC1) to Madrid (Europe-TC2) crossing Atlantic ocean hence Global indicator AT will apply.

Case 2 – Travel Itinerary below is from Newyork city (TC1) to Sydney (TC3) Via London (TC2). In this case, since travel is conducted across the Atlantic ocean from North America to Australia via the UK (TC2) the applicable Global indicator will be “AT”.

Case 3 – In this itinerary travel is conducted from Rio De Janerio (TC1) to Seoul (TC3) via London (TC2) across the Atlantic ocean hence this itinerary will have Global indicator as “AT”.

Note – When conducting the same travel itinerary if travel is across Atlantic but via certain specific areas in central and south countries of Africa then in such case, the applicable global indicator would be SA instead of AT.

SA-South East Asia or South Atlantic – When Travel is conducted from South Atlantic Countries which are ABCUP – Argentina, Brazil, Chile, Uruguay, and Paraguay to Southeast Asia to South Asian Subcontinent via Southern Africa or Indian ocean island or direct transatlantic flights than for such itinerary Global indicator “SA” will be applied.

In the below example travel is from Buenos Aires (TC1) to Mumbai (TC3) via Capetown (TC2). Since the via point in this example is via Capetown which is a southern African country the applicable global indicator will be SA instead of AT.

This rule/global indicator is an exception for AT global indicator. Although the itinerary is across the Atlantic however since its via a south African country the global indicator SA applies.

Global Indicator South East Asia

FE – Far East -When travel is conducted between European Russia or Russia west of Urals (primarily Moscow and St.Petersburg) and Ukraine to TC3 non-stop (exception of travel to Japan and Korea) then the itinerary will have Global Indicator as FE.

In the below case travel is from Moscow to Beijing non-stop and hence FE will be the global indicator. (Please note since this travel is entirely in eastern hemisphere hence EH can also be considered as GI for this route however the first preference will go to FE )

Global Indicator Far East

RU -Russian – When travel is conducted from Russia west of Urals to Area 3 except for travel to Central Asian countries via non-stop travel from Japan and Korea then the itinerary will be RU.

(Please note since this travel is entirely in eastern hemisphere hence EH can also be considered as GI for this route however the first preference will go to RU )

Case – In the below case the flight departs from Moscow to Osaka japan hence this is considered as RU global indicator. If this travel would have been from Bejing to Moscow via Japan and Korea then also this global indicator would apply.

Global Indicator RU (Russia)

TS – Trans Siberian – When travel is conducted from TC2 (except Russia west of Urals) to TC3 via a non-stop service from japan and Korea then the itinerary will have a Global indicator as TS.

(Please note since this travel is entirely in eastern hemisphere hence EH can also be considered as GI for this route however the first preference will go to RU )

Case 1 – In below case travel is conducted from Brisbane (Australia TC3) to Dakar (Senegal TC2) via a non-stop flight from Tokyo Japan (TC3) and Madrid Spain (TC2) hence this itinerary will have a global indicator as TS.

Global Indicator Trans Siberian

Case 2 – In the below case travel is commenced from European Russia Moscow (TC2) to Bangkok Thailand (TC3) via Frankfurt Europe (TC2 ) and Japan (TC3) the global indicator for this itinerary will be TS.

Note – If the travel would have been via Frankfurt to Bangkok instead then this itinerary would have a Global indicator as FE instead of TS. ( Travelling via japan gives this itinerary the global indicator TS instead of FE.

Geographically the world is divided into four parts that are the Western hemisphere, Eastern Hemisphere, Southern Hemisphere, and Northern Hemisphere. The area which is to the south of Equator is termed as Southern Hemisphere and to the north of the equator is termed as Northern Hemisphere. Similarly, the countries or area which lies to the west of the prime meridian is called Western Hemisphere and to the east of the prime meridian is called Eastern Hemisphere. However, if this rule followed for Air travel it will cause confusion as the prime meridian which passes through London passes through many countries making it difficult to follow and the same applies to equator aswell. Hence to negate this issue IATA has divided the globe into the Western hemisphere comprising only the Americas and Greenland and Eastern hemisphere which comprises every other continent. For further segregation, the globe is divided into 3 areas also known as Traffic Conferences-TC1, TC2, TC3.

Updating Frequent flyer and assigning seats.

In this section, we will see how to update frequent flyer number and how to assign seats.

Frequent flyer program:- A frequent flyer program is a membership program operated by an airline for all travelers. All Major airlines operate a frequent flyer program for its travelers. There is no membership cost for a frequent flyer program and anyone can become a member. The frequent flyer programs work on a points-based system where travelers are awarded points for traveling on a particular airline. A point is rewarded for every dollar spent or every mile flown depending upon the airline’s mileage system of calculating frequent flyer points. Business class reservations, premium economy class reservations, and first class reservations fetch more points as compared to economy class reservations. More the traveler uses a certain airline more frequent flyer miles get accumulated in his frequent flyer account. This points can be redeemed by the traveler for free tickets, upgrades, etc.All frequent flyer programs operate on a tier system the number of points accumulated decides the status of the frequent flyer. For eg:- A traveler who has just entered the membership program will have a blue card which will get upgraded to a silver card once he accumulates a certain number of miles (say 100,000 miles) and likewise, the status will keep on changing as miles one get accumulated.

Below is the command to update frequent flyer number.

YY is two letter airline code followed by the frequent flyer number.

If you observed in above example an additional Mileage Membership tab appears once the frequent flyer number is updated in the reservation.

Below is a chart displaying various commands to enter and remove frequent flyer number and how to update frequent flyer in the case when two airlines are involved.

Seat Assignments is the process of assigning a sat for the reservation.Seat assignment can be done once a ticket is confirmed or a seat can be assigned while checking in.Nowadays pre-assigning a seat before your scheduled departure will cost you and costs may vary on seat preference.Exit row seats and seats in the front will cost more compared to the normal aisle or window seats.However, there are certain airlines which allow you to pre-assign seats free of cost.

Below is how you can view a seat map and assign seats.

Galileo offers a graphic view of seat map to assign seats.

To go to the graphics screen click on the first highlighted option.

In the next screen, you will see the flight itineraries for the confirmed reservation.To assign a seat you can simply right-click on the itinerary which will open an option to view seat map.Once the seat map is open you can simply click on the desired seat and save the reservation which will confirm the requested seat.Once the seat is assigned you will see an additional tab on pnr as below highlighted you can simply enter command *SD  to view seat data.
