How to Assign Seats in Amadeus

In this lesson, we will learn how to assign seats for a reservation. Assigning seats as per the preference of the traveller is possible when using Amadeus. Most of the full-service airlines allow you to assign seats on Amadeus however nowadays some airlines charge a fee for economy class travellers for pre assigning a seat on restrictive fares. Seating for business and first-class travellers can be made without any restrictions or charges. Below we will explain the process of assigning seats on Amadeus.

Step 1  – Before you assign a seat you must know which is vacant or which is occupied, Every seat on an aircraft has an alphanumeric number and two assign a seat which a passenger has requested for you first need to check the seat map if the same is occupied or vacant. The command to check seat Map is as below.

Here SM is the command to view seat map for an itinerary on line number two. This command can be used only when you are in a pnr.

When you enter the above command below command cryptic and graphical map of seating is displayed. You can choose whichever seat the traveller prefers.

In the above image, you will notice below the cryptic map a detailed explanation of all the characteristics of the seat map have been shown. For example  “.” means seat being available and “+” means the seat is occupied.

Besides the cryptic map displayed in the above example, Amadeus also displays a graphical map as below, this map is much easier to understand and seat selection is easier on this map as one has to simply click on the highlighted green seats to assign the same.

However, if you are not able to display the graphical map you can always choose seats using the conventional cryptic commands.

Now if you observe above seat map, seat no 8D is vacant and we can assign the same by the following command.

ST/8D/S2

Here ST is the command followed by “/” and seat no which you want to assign for a flight on segment number 2. When you enter the above command a seat is pre-assigned for the traveller as per preference and same does not need to be requested again at check-in.

How to Add frequent flyer/ Rewards number to Amadeus pnr

So far we have learned how to Sign in, Check for codes using Amadeus and how to create a PNR. Now we can safely say that we have covered the basics of Amadeus, Taking a step forward in this lesson we will learn how to add other essential elements for a PNR, these elements are not required to complete a PNR but do serve as an additional benefit or an addon in servicing your client. In this lesson, we will learn How to add frequent flyer numbers, How to request for meals, How to request a special request and How to select seats.

How to Add Frequent flyer membership details to a PNR?

Before you know how to add a frequent flyer membership details we will tell you in brief what exactly is a Frequent flyer number (FFN). 

Most Full-service airlines globally operate a programme for its loyal customers rewarding the customer’s points for frequently using their airlines. These points can be redeemed by a traveller for future travel, upgrades, lounge access and other benefits with the same airline or partner airlines. Some airline nowadays even allow the points to be redeemed for online shopping and some airlines have partnered with other travel services such as car rentals and hotels so travellers can accrue more points using this programme. Many corporate travellers give high importance to these programmes because of the benefits received through the points. Hence updating frequent flyer details to a PNR is important.

Scenario 1

The command for entering frequent flyer details to a PNR in Amadeus is as below.

Here FFN is the command followed by the Airline for which we would be updating the frequent flyer details and followed by the frequent flyer membership number of the traveller.

If you observe the above image the first step to update the frequent flyer details to a reservation is to enter the frequent flyer number using the FFN command, the second step is to save the command. For saving any command on all the GDS the process is the same which is first entering the received from command followed by ER or end and retrieve command. This saves the frequent flyer details to the PNR.

Scenario 2

Second scenario we will learn how to update frequent flyer details when accruing miles for a partner airline. 

Many airlines globally enter into partnership agreements allowing travellers to accrue miles when travelling on partner airlines. Some are even part of big alliances like star alliance, sky team, one world , etc. For eg:- Qatar airways and British airways is part of One World alliance and allow travellers to accrue miles when they travel on either of the airlines. They can choose one account to which they wish to maximize their accrual of miles and update the same while booking on Qatar airways or British airways. Similarly, Emirates also has Frequent flyer membership agreements with a number of airlines. 

The command to check Frequent flyer membership for a particular airline is as below.

VFFDEK

In the above command, VFFD is the command and EK is the airline code. So we are asking Amadeus to displays frequent flyer membership agreements for airline EK (emirates).

If you observe the above image you will notice Emirates has agreements with AS, BE, BL, B6, etc airlines. So when a traveller uses any of these airlines he still can accrue points for his EK frequent flyer account. Now to enter the frequent flyer details to a pnr for a partner airline is slightly different.

Now if you see above command the FFN remains the same followed by airline however since we are trying to accrue miles flown on B6 (jet blue) airlines which is a partner airline of Emirates we additionally enter a comma followed by the two-letter airline code.

In the above image, you can see the process to enter frequent flyer on a partner airline remains the same however the command to update frequent flyer has a slight variation.

With this, we come to an end on how to enter or update frequent flyer details to an Amadeus PNR. 

How to create PNR in Amadeus-Part III

So far we have learnt three elements which form a PNR (PRINT) and in this lesson, we will learn how to create Received from element and Ticketing element. These two elements are the easiest to learn and understand and there are minimum variations to these two elements.

Ticketing Element – Ticketing element also know as ticketing time limit element is one of the essential elements to complete a PNR. A ticketing element specifies when the ticket will be issued or confirmed for the PNR created. Please note a traveller won’t be able to travel using just a pnr unless a ticket has been issued. For creating a Ticketing time limit field below are some commands which can be used.

TKTL or TKOK –   This command gives instant time limit, we will generally use this command when a ticket has to be issued instantly mostly for domestic air travel or when travel is for the same day.

If you see the above image you will notice once we entered the TKTL command system auto picked up the current date which stands for instant ticketing today. Similarly, if we want to issue the ticket a month before the departure or any other date we want to specify we can do so. This command will be useful when the traveller is still unsure and wants to hold the reservation and want to confirm after a certain date.

TKTL15SEP/1200

In the above image, you will notice we entered the TKTL command specifying 15th of September date and 1200hrs as time so this PNR will automatically appear in your Quee as a reminder to be ticketed on specified time and date. This feature helps to keep track of future-dated ticket issuance. 

TKXL15SEP/1200

A similar variation to the TKTL command is TKXL which will automatically cancel the itinerary for you on 15th of September at 1200 hrs, this command is useful in avoiding debit memos. Most airlines nowadays issue debit memos for unticketed PNR which are held for no reason and this command helps to eliminate such errors by cancelling the PNR on specified date and time if not ticketed.But this command has to be used discretely as it may have adverse effects and cancel an actual ticketed booking.

Next, we will learn how to add received from the element which is the simplest of the element.  

The last and the easiest element to be updated to complete a PNR is the Received from Element. There are no variations to this command, Purpose of received from the element is to indicate who is the booking received from this can be the traveller himself or the booker or anyone else who has asked to make this reservation.

RF STEVEN SMITH

RF is the command followed by the name of the individual or you can put the initials of the name like SS, This command is not displayed anywhere but its essential command to end the booking.

Now if you see above image you will notice the reference element is updated and now all 5 elements are updated however the final step is to End the transaction and retrieve the PNR. The command for same is ER.

ER

Once All elements are added you need to End the transaction and save it hence we do an ER command which instructs Amadeus to end the transaction and save the PNR.

In the above image, you will notice on entering the End and Retrieve command the PNR is saved and a new Alphanumeric PNR is created,this is the reference code for the held reservation. With this we cover all points on how to create a PNR. The Five basic elements of PRINT remain common and form basis of creating a PNR.

How to create PNR in Amadeus- Part 1

This is a 3 part post through which we will learn how to create a PNR or a booking file in Amadeus. Like all GDS system, Amadeus also requires 5 mandatory elements to create a PNR. These 5 mandatory elements are constant among all GDS systems. These elements are Phone Field element, Received from element, Itinerary element, Name element and Ticketing element, the acronym for this element is PRINT and these 5 elements form a PNR.

All 5 elements when combined form a PNR however the commands don’t need to be in the same order but all 5 elements have to be present. Hence without following any sequence we will start with Name Field.

Name Element– Name element or name field is one of the mandatory elements in creating a PNR. Name element includes the name of the traveller or travellers for whom the reservation is being made. The command for Name field remains the same however for infants and child travellers there is a slight variation in the command.

Please note:- Name element is always entered as last name slash followed by the first name and then the salvation or title.

Command for Name element for Adult.

NM1SMITH/STEVEN MR

NM1  is the command for entering the name of 1 passenger, followed by last name or surname and then the first name of the passenger. Next, we will add the name of the second traveller along with the infant.

STEP 1-Adding names to PNR

A traveller who is between 0 to 2 years of age is termed as an infant passenger. An infant passenger cannot travel alone and has to be associated with an adult passenger in the PNR. Below is the command for entering or associating infant name with an adult passenger in a PNR. This command is for infant without a seat. The second passenger, in this case, is Mr Smith’s wife Jennie and their infant James who is born on 1st of January 20.

NM1SMITH/JENNIE MRS (INF/JAMES/01JAN20)

In the above command, there are no changes to the first part of the command and it remains the same as the adult passenger command however since we are associating or adding an infant with this adult we add a bracket with indicator INF/ Name of the infant James/ Date of birth. When this command is entered in pnr the Infant fare (which is 10percent of adult fare) is auto picked up for the infant passenger and the ticket issued will be in association with the adult passenger. Next, we will learn how to add a Child passenger to a PNR.

A child passenger is a traveller who is between 2 to 12years of age. Any traveller beyond 12years is termed as an adult passenger and adult fares shall apply. Most full-service airlines provide a child discount up to 25percent on the adult fare. It is important to specify the child command in the name field for Amadeus to auto pick up the child fare.

NM1SMITH/ROGER MSTR(CHD/01JAN15)

In this command, the first indicator for name field remains the same which is NM1 followed by the naming structure which is the last name followed by the first name and title, in this case, it is Master since its a male Child. The primary difference is the brackets and the CHD indicator/date of birth. This command informs the system its a child passenger and automatically picks up a child fare for the passenger.

Understanding Amadeus PNR

In this lesson, we will learn what is a PNR and how to read or understand a PNR. We will also learn how to retrieve a PNR, ignore an existing PNR.

A PNR stands for Passenger name record it is also called as booking file. A PNR basically is a reservation for a passenger it can contain flight reservation, Hotel reservation, Rail Reservation, Car rental or any other form of reservation.  However, in this lesson, we will be explaining you on a PNR which has Air ticket reservation, This the most common form of reservation that is booked on any GDS. Before you create a PNR you must know how to read a PNR or how to understand a PNR.

A PNR basically consists of 5 main elements which can be abbreviated as PRINT – Phone, Received from, Itinerary, Name and  Ticketing Time limit. Besides these 5 mandatory elements, PNR also contains other information like ticket number if reservations are confirmed, Passengers seating information, Meal information and other supplementary information. Below is how a PNR looks like in Amadeus.

In the above image we have numbered all important elements so you can easily read the PNR. We will try to explain the details numbered.

  1. O4C8DL – This is the Amadeus PNR, this is the reference number which will be used for retrieving the reservation on Amadeus we will explain in our next topic on how to retrieve a PNR. (please note this is an alphanumeric code and every PNR is unique. ) An Amadeus PNR can be retrieved only in agency PCC.
  2.  AA/HDGZTE – This is the Airline PNR.  This is the Reference locator which you need to provide to the passenger. The Airline recognizes only this locator and cannot recognize the Amadeus PNR.
  3. This is the Name of the traveller for whom the reservation is confirmed. The name as per airline/ systems rule is stored in reverse starting with last name first followed by first name and initial, Hence Smith/Brady Lavelle is displayed.
  4.  This is the area where travellers contact number, Agency contact number, Email address are displayed. Other information such as ticketing time limit can also be seen here in this image you will see at TKOK 02JUL was the time limit for this PNR. Besides this other supplementary information such as meal requests, seat requests, travellers passport information etc is displayed in this area.
  5.  This is the most important area where the Itinerary of the travel is displayed. In this case, an air travel itinerary between London Heathrow (LHR) to Dallas fort worth (DFW) is booked for 11th of July the AA stands for Airline code, in this case, its American airline hence AA. The flight will leave at 1100 hrs from London and will reach Dallas same day by 1500 hrs.
  6.  This is where the ticket number can be seen. A ticket number is displayed only when a ticket is issued. This means that that travel is confirmed and paid for.
  7. The TST line suggests that fare and pricing exist for this PNR, which can be displayed by TQT command.

These are some basics on how to read a PNR.  Whenever you see a PNR on Amadeus remember to look for information in these 7 areas highlighted.

Next, we will see how to Retrieve an existing PNR.

Now that you know what is a PNR and how does a PNR look like in Amadeus next we will learn how to retrieve a PNR. In the next lesson, you will learn how to create a PNR. But before creating you must know what is a PNR and how to retrieve a PNR.

There are a few ways how you can retrieve a PNR in Amadeus but we will be learning the most common ways of retrieving a PNR.

  1. Using the PNR number or PNR Code – This is the most common way of retrieving the PNR. If you have noted the PNR number you can retrieve the same by below command.

RT is the command to retrieve a PNR followed by the PNR number or code.

Now above is a method when you have the PNR or have noted the PNR. Suppose in case you do not know the PNR or have not noted the PNR still you do not need to worry as you can also retrieve a PNR by Last name. This is the second most common way of retrieving a PNR. But please remember the spelling of the last name should be correct or near about correct. Below is the command you will use to retrieve a PNR with the Last name.

RT/SMITH/J

In this command against “RT ” remains the same followed by “/” and last name of the traveller. Now if you remember the initial of the first name or first name itself it will be easier to locate the PNR.

If you see the above image you will notice when we enter RT/SMITH the system displays all PNRS which are ending with the Last name as Smith. You can choose the PNR on line number which you are looking to retrieve. In this case, we were trying to retrieve a PNR with last name Smith and the first name starting with J hence we retrieve PNR on line number 4 hence RT4.

Now, these are two common ways how you retrieve a PNR to check more commands to retrieve a PNR you can use the help pages.

Now the Final topic we will learn in this lesson is how to Ignore a PNR. So far we have learned what is a PNR and how to retrieve a PNR,  Now suppose you are in a PNR and suddenly need to check a PNR for some other traveller then in that case you need to ignore the PNR. To ignore a PNR or for ignoring any transaction in Amadeus the Command is very simple as below.

This the most common commands that will be in use. This command helps to ignore a PNR or a command or a transaction that you are in.

Above is how you ignore a PNR, However, please remember do not enter this command when you are trying to save something to the PNR or while creating a PNR. When you ignore the PNR without saving all data will be ignored. Another command similar to ignore is ignored and retrieve command which is a combination of the above two commands which we learnt. The command to ignore and retrieve is as below.

IR

This command is used when an automatic change or update is done in the PNR by the airline or when you want to ignore the command but do not want to ignore the PNR.  When the airlines does a change to the booking file the system will actually prompt you to ignore and retrieve the PNR to view the updated PNR.

Below is an example where we required 3 seats but sold 1 but now want to ignore the transaction but want to remain active in the PNR.

Now if you notice the above image you will see there are 3 passengers in this PNR and we sold 1 seat only for the return flight which is not sufficient. Since this transaction could not be saved we decided to ignore and retrieve the PNR which ignored the incorrect seats sold which were not saved but did not throw us out of the pnr like IG command. In case some of you did not understand this concept at the moment you can revisit after going through the next lesson of how to create a PNR.

How to Create PNR in Amadeus Part-II

In this second segment of creating a PNR  we will learn how to create an itinerary. If you have gone through our previous topic on the Basis of Amadeus where we learnt how to sell seats or hold seats then this chapter will be easier for you. But we will also be learning about how to enter phone field or contact field to the PNR.

How to update Itinerary field for a PNR. An itinerary is a broad term and can consist of flight reservations, hotel reservations or car rental bookings, train reservation or all together. However, in this lesson, we will learn how to create a flight itinerary for a PNR.

The first step for creating an itinerary is to Check availability for a flight.

In this example, we will be checking availability for Dubai to Mumbai. So we will do below command to display availability between two cities for 15th of October.

Presuming Mr.Smith  wants to know fare and availability for the 930am flight from Dubai to Mumbai we have to sell the same. As we can see there are currently 9 or more seats on Economy class for this flight so we can sell a seat on this flight.

For selling a seat on Amadeus we can do a cryptic command or the GUI on Amadeus allows you to just click on the required seat and hold a seat.

The cryptic command to hold a seat is as below.

SS3Y2

which means sell 3 seats on Y class on line number 2. Three seats will be sold and a flight itinerary from Dubai to Mumbai for 15th October will be created. Please note we sold 3 seats since one passenger is an infant passenger who won’t require a seat.

Once we sell/hold seats an air itinerary is created which completes our second mandatory element for creating a PNR. Now that we have entered name field and created itinerary the next element we will have to enter is phone field or contact details.

Phone Field is an important and mandatory element in the process of creating a PNR, Phone field includes contact details of traveller, Agency and you may also include the email address of traveller. It is not mandatory to add email address however it is important since in event of a schedule change or a cancellation the airline can update the traveller over the phone or via email.

Below is the command to create phone field, we will be entering agency contact details, travellers contact details- Business phone and home phone and email address.

Command to enter agency phone details is as below.

In the above PNR, we have added 4 types of contact details,first, we updated the agency contact details AP is the command and A is for agency-related contacted details hence APA followed by free-flow text like the name of the agency and contact details of agency. Please note we have specified DXB since the PNR is made in Dubai, In case the PNR was made in London then LON would be entered next to the entry.

In the next Command which was similar but was missing an A at the end hence AP DXB free flow text however, at the end -B has been updated which specifies this is travellers business phone. Similarly in the next line we have update H which stands for Home phone and lastly we have updated the Email field which is denoted by E hence we enter the command APE-EMAILADDRES@EML.COM. This completes our Third element which is phone field or contact field. Next, we will learn how to update Received from field and ticket time limit field.

How to Sell Seats and price Itineraries on Amadeus

In this lesson, we will learn how to hold seats on Amadeus and how to check fare for an itinerary. This is one of the most important steps in creating a pnr you cannot complete a PNR without creating itinerary or selling seats and pricing is one step further which displays the fare for the sold itinerary.

To hold seats for an itinerary the first step is to do an availability command which we learnt in our last chapter.

Step 1- Check availability for a flight.

In this example, we will be checking availability for Dubai to Mumbai. So we will do below command to display availability between two cities for 15th of October.

Presuming the traveller wants to know fare and availability for the 930am flight from Dubai to Mumbai we have to sell the same. As we can see there are currently 9 or more seats on Economy class for this flight so we can sell a seat on this flight.

which means sell seat 1 on Y class on line number 2 or you can simply click on the Y on line number 2 to sell a seat.

Below is the result which will be displayed upon entering above command.

As you can see in the above image the first step is to check availability and the next step is to sell a seat. There are other methods to sell a seat like the long sell entry however this is more useful while creating a dummy or passive booking to create active bookings you can stick to above short sell entry.

Now that you know how to sell a seat we will show you how to price a sold seat.

To display fare for a sold seat the entry is as below.

FXX

This command will give you fare for the sold itinerary but in case if you require the lowest fare for the itinerary the command is as below.

FXR

FXR will display the lowest fare for the sold itinerary.

 Now if you observe above two images the first image which is the FXX entry gave us Fare for AED 3260 and when we did FXR it gave us the lowest fare AED 1050 for the itinerary.

Now if the traveller wants to check the lowest fare in business class or first class we can enter below commands to get the lowest fares in respective cabins.

Business-class lowest fare – FXR/KC

Now if you see above image when we enter the command FXR/KC the system automatically ebooks for the lowest business class fare available for this itinerary, The class of booking first changed from Y to K for lowest fare and now from K to I for the lowest business fares.

Similarly, if you want to check for lowest first-class fare the command is as below.

FXR/KF

This command will give lowest first-class fare for the itinerary.

In the above example when we enter the command FXR/KF the system ebooks the seat from Business to first and provides the lowest first-class fare. (changes from I to A)

How to Check Time Table and Availability using Amadeus

In this lesson, we will learn how to check timetable using Amadeus. Many of you may question why do we need to learn command for time table when we are already checking for availability which is a more informative way of checking for flights. You can use the timetable command while checking for flights on low-cost airlines which do not have access on Amadeus and are only hosted online on their respective website. For example, Airlines like Ryan air and Easy jet can be sold only online and do not show availability on GDS however timetable for these airlines can be viewed on Amadeus.

For example, you need to know if there are any flights between Houston Hobby and Dallas love field airport since these flights are operated by Southwest Airlines (WN).  Availability won’t show up on Amadeus but you can view Timetable for Southwest on Amadeus. Below is the command for checking Timetable.

**The only difference between command for availability and Timetable is the letter A instead of T for timetable. However, Availability command is more reliable for the majority of the airlines**

In this lesson, we will learn how to check availability for flights using Amadeus. This is an important lesson in your process of learning Amadeus as this command will be used frequently in your professional career as a travel consultant. In this module, we will try to cover various types of commands to check availability using Amadeus as well as some short cut commands which will help you to speed up your work.

The first command we will learn today is the basic availability command also known as basic neutral availability command.

AN15SEPDXBLON

Above is the command to check availability for 15th of sep between DXB (Dubai) to LON (London), once you enter above command availability for flights between two cities will be displayed for 15th of September.

Now before we explain you various commands for availability it is important to understand how to read availability hence we have colour coded various elements of an availability. 

AN15SEPDXBLON is the command which was entered to get the availability of flights between the city pair.

The availability display on this page is currently showing 10 flights, flight availability is from line no 1 to 10 and we have highlighted availability on line number which is on airline EK or Emirates and next to which a flight no is displayed 007 (EK 007). The numbers in the blue box highlighted is the flight departure time (this will be always the local time from where the flight is departing, in this case, it is Dubai so its local time in Dubai when the flight will depart) 0230hrs is the departure time of flight and in orange box is arrival time in London which is 0705hrs. The Departure and arrival times will always be displayed as per the local time of the respective city. In this case, the flight is departing at 230am from Dubai and reaches at 705am in London. The next box which is in green specifies what is the type of aircraft that is used for this flight in our case E0/388 which stands for airbus 380 aircraft. If you do not know the coding you can simply click on the pink shaded part which will inform you about aircraft type. And at the very end there is are numbers displayed which we have not highlighted. Next to our line its 7:35, this is the total flight time in hours. For this flight the duration will be 7hrs and 35 min.

Now the most important part of the yellow box which we have not explained. The yellow box shows the number of seats for every booking class or RBD and each of these booking classes are represented by an alphabet like Y, R, F, etc. In our availability line number two, we have 13 booking classes and next to every class there is a digit that is the number of seats that are available or maximum seats that can be booked at a given point. Y9 E9  R9  W9 M9 these are all booking classes and the digits next to them are the number of seats available in this classes as the flight gets sold out the numbers change and if the flight is fully booked you will see a letter C or L in front of the class which means the flight is closed (YC) or can be waitlisted (YL).

General Tip:- How do you determine which classes of booking are for economy and which are for business?

Answer:- Y is your marker- all classes on the right of the Y class (including Y) are for economy class and all two the left is business and first. (business is CIDJZ and First class is FRAP ) this may vary for some airlines.

Next, we will see how to check availability for specific airlines only and how to use a few shortcuts for quick availabilities.

The command for checking availability for a  particular airline remains the same except an indicator is added at the very end of the command to specify the airline.

If you observe above command it is similar to availability command only at the end we specify which airline we are looking for in this case EK-Emirates.

Below is the result which will be displayed when you specify availability for a specific airline.

All flights displayed in above availability are on Emirates between Dubai and Hongkong.

E0 which is circled means this a non-stop direct flight without any stopover or halts.

E1 means this is a non-stop flight but will halt for some time to take passengers or refuel.

Next, we will see how to convert the availability to a return availability, this command is important since all travellers generally have a return flight Planned. Now instead of repeating the entire command, you can use the below  command however this is useful if the return is from same city.

ACR30SEP/AEK

If you observe the above image we only did a short cut command of ACR30SEP/AEK which gave us availability for 30th September instead of entering the entire availability command. Amadeus has many such short cuts which can be used to accelerate your speed at work.
